The short answer
Choose around the job you need done.
Shortlist HoneyBook Essentials and Dubsado Premier if automation is the reason you are buying. Both entry plans leave out capabilities relevant to that job. Dubsado has the lower listed annual automation-plan cost; choose the workflow that handles your actual inquiry, approval and payment process with fewer manual exceptions.

How we compared: This is a research-based comparison of official pricing and product documentation checked on September 7, 2026. Recommendations are our editorial judgment. Examples below are hypothetical. This article contains no affiliate links.
Start with the stage where you lose time
For a one-person service business, a client-management system should help a lead become a booked job without repeatedly copying details between emails, contracts and invoices. A photographer may need deposits and booking dates; a consultant may need scope approval and a retainer; a coach may need intake forms before a first session.
Write your current process as six steps: inquiry, qualification, proposal, signature, payment and onboarding. Circle the steps you repeatedly forget or complete late. That is your buying brief. If you only need invoices, a full client-management platform may be unnecessary.
Setup effort depends on the process, templates and exceptions you bring with you. Use your own sample workflow to compare the work involved.

The reviewed annual prices are in USD, before taxes, payment fees and optional add-ons. HoneyBook’s US page lists Starter at US$29 per month billed yearly and Essentials at US$49. Dubsado lists Starter at US$335 per year and Premier at US$525. Scheduling and automated workflows sit in HoneyBook Essentials and Dubsado Premier. HoneyBook pricing, Dubsado pricing
| Annual-billing illustration | HoneyBook Essentials | Dubsado Premier |
|---|---|---|
| Annual subscription | US$588 | US$525 |
| Equivalent per month | US$49 | US$43.75 |
| Difference over a year | US$63 more | US$63 less |
These are annual commitments, not monthly cancellation rates. The US$63 difference is meaningful but small enough that a repeated manual workaround could outweigh it. For a hypothetical US$50/hour operator, US$63 represents 1.26 hours of time; that is a decision illustration, not a measured saving from either app.
Payment processing can matter more than the subscription gap. Compare rates for your country, card type, bank payment method and settlement needs. Use the rate quoted for your actual payment method.
What to evaluate in HoneyBook
HoneyBook lists proposals, contracts, invoices and a client portal on its entry tier. Essentials adds scheduling, automations and QuickBooks Online integration. Its official announcement confirms expansion into the UK and Australia, alongside the US and Canada. Check the local offer rather than converting the US plan price yourself. A useful HoneyBook trial starts with a package you already sell. Can you explain the deliverables, let the client approve the right option and request a deposit without duplicating work? Review the entire client journey on a phone, including any transition between files or payment screens.
Choose it only if the process fits. A polished template is valuable when it reduces confusion. It is less valuable if your exceptions require a series of manual emails after the template has been sent.
What to evaluate in Dubsado
Dubsado Premier lists workflows, scheduling, public proposals and bookkeeping/Zapier integrations; Starter does not include those features. Both list client portals, forms and invoicing. Dubsado plan comparison
A useful Dubsado trial tests the variations in your services. For example, a fictional photography business might have separate wedding and portrait inquiries, different questionnaires and different payment schedules. Attempt those branches with dummy clients, then list any steps that still require manual intervention.
We do not treat “more customizable” as proof that every conditional path is supported. Verify the actual trigger, waiting condition, cancellation step and handoff you need. If your business has a simple, repeatable package, additional configuration choices may not improve the result.
Run one inquiry-to-booking test in each
- Submit a dummy lead with a clearly marked test email you control.
- Confirm the acknowledgment gives a realistic next step rather than promising a booking you have not approved.
- Send a sample proposal and contract. Check amounts, dates and the client’s selection.
- Inspect the payment request without making a real charge unless you deliberately choose to test that separately.
- Change or cancel the appointment and check whether later reminders stop or update correctly.
- Check the mobile experience and export a record of the test project.
These steps reveal different problems. An acknowledgment can work while a deposit request uses the wrong amount. A scheduling link can work while a rescheduled project retains an old reminder. Passing the happy path alone is not enough to judge your finished setup.
Booking dates, local taxes and accounting
Distinguish an inquiry from a confirmed booking. In your own process, decide what actually reserves the date: your approval, a signed agreement, a payment or some combination. Then test that rule. We do not promise that either platform eliminates double bookings under every calendar configuration.
Likewise, local availability does not establish tax-filing capability. Confirm the invoice fields, currency, payment provider and accounting handoff needed in your country. A client portal is not a substitute for a verified accounting and reporting process.
Plan the exit before migrating active work
List what you must retain: signed documents, customer details, invoice balances, attachments and payment history. Test the available export for each item and ask about any post-cancellation access you depend on. We do not assume an undocumented retention window.
Start with a small sample rather than moving every active job at once. Compare record counts and balances, and keep original signed documents separately. Recreating a template is different from transferring a legally significant signed agreement.
Frequently asked questions
Which is cheaper for automation?
On the annual US-dollar offers checked here, Dubsado Premier has the lower subscription cost. Additional brands, team access and payment fees can change your total. Compare a quote for the actual configuration you will use.
Which is easier to launch?
Use one real service package and measure your own setup effort and remaining manual steps. That evidence is more useful than a generic launch-time promise.
Can either replace my project manager?
Test the work after booking as well as the sales process. If you need production dependencies, resource planning or detailed delivery tracking, verify those requirements separately. Do not infer that a client-management subscription replaces every operational tool.
