ChatGPT Projects for Solo Client Work: Context and Privacy

Solo consultant managing isolated client workspaces with privacy boundaries

Give every client their own ChatGPT project and choose project-only memory when you create it, because a plain project does not stop one client’s context from surfacing in another’s chats. Put a short instruction block and the client’s approved source files inside, keep drafts there, and never send anything to a client until you have checked facts, names and numbers against those sources yourself.

Editorial research checked September 14, 2026 against OpenAI Help Center articles. Prices are the USD figures OpenAI publishes in those articles; your currency and tax may differ. This article contains no affiliate links.

The manual baseline you are replacing

Before changing anything, write down what one client task costs you today. For most freelancers who use ChatGPT without projects, a single piece of work looks like this:

  1. Open a new chat and paste the client’s brief, tone notes and constraints again.
  2. Find and re-upload the reference files, because the earlier chat is buried in history.
  3. Correct the first answer when it misses something you explained last week.
  4. Scroll back through older chats to recover a decision you already made.
  5. Copy the useful output into your own client folder so you can find it later.

Time one real task through those five steps, then count how many times a week you repeat them for each client. That product is your baseline. We are not going to supply a saving figure, because it depends entirely on how often you switch clients and how long your briefs are; the point is to have your own number before and after.

What a project actually holds

OpenAI describes projects as workspaces that “keep everything related to a long‑running effort in one place”: grouped chats, uploaded reference files and custom instructions. They “are available to all free and paid subscription types globally”, and OpenAI states that access to projects is included with every qualifying plan at no extra cost. Source: Projects in ChatGPT.

Two details matter for client work. First, “Project instructions only apply inside the respective project and will override your global custom instructions”, so a client’s tone rules do not leak into your other writing. Second, when you move an existing chat into a project it inherits that project’s instructions and files, but chats created with a custom GPT cannot be moved.

Three isolated client project spaces separated by privacy boundaries

The setting that decides client isolation

Every project uses one of two memory modes, and the default is not the one a multi-client freelancer usually wants.

Project memory modes, from OpenAI’s Projects documentation, checked September 14, 2026.
Behaviour Default memory Project-only memory
Your saved memories Referenced in project chats. Not referenced in project chats.
Other chats in the same project Can be referenced. Can be referenced.
Chats outside the project On non-Enterprise plans, including Business, can be referenced unless the other project is project-only. Cannot be referenced.
Outside chats referencing this project Possible. Not possible.

OpenAI states that with project-only memory, chats “cannot reference conversations outside the project, such as general ChatGPT conversations or conversations in another project,” and “Chats outside the project cannot reference conversations from the project.” You can pick the mode when you create a project or change it later in Project settings, but OpenAI warns that “Changes may take a few hours to take effect.”

Three caveats keep this honest. There is no global switch: OpenAI answers “No” to whether all project memory can be made project-only at once, so each client project must be set individually. You cannot view a list of what a project remembers; to make ChatGPT ignore one conversation you have to delete it or move it elsewhere. And project memory is a context boundary, not encryption or a contractual data-handling guarantee.

One client, one project: the setup

  1. Create the project from New project in the sidebar and name it after the client and engagement, not the task.
  2. Choose project-only memory at creation. If you are converting an older project, change it in Project settings and allow a few hours before relying on it.
  3. Add the instruction block below in Project settings.
  4. Upload only approved sources: the signed brief, the style guide, the latest version of each deliverable. Leave out anything you would not want quoted back.
  5. Move existing chats for that client into the project, and delete stray chats that mixed two clients.
  6. Check your memory settings. On non-Enterprise plans OpenAI lists Reference saved memories and Reference chat history as settings that must be on for project memory to work.

An instruction and source-file template

Keep the instruction block short and factual. Instructions are guidance, not a security control, so do not put anything in them you would not put in a file.

Illustrative project instruction block. Replace every field with your own; the entries are examples.
Field What to write
Client and engagement Client name, what you deliver, current phase.
Audience and tone Who reads the output and how formal it should be.
Authoritative sources “Treat the uploaded brief and style guide as the source of truth; say when something is not in them.”
Do not Invent figures, quotes, dates or commitments; mention other clients.
Output format Headings, length, file type you will paste into.
Open questions “List anything you had to assume at the end of each answer.”

Name files so their status is obvious, for example brief-signed-2026-09.pdf and style-guide-v3.docx. When a document is replaced, delete the old version from the project sources rather than keeping both.

File limits that shape the setup

Upload limits from OpenAI’s Projects and File Uploads FAQ articles, checked September 14, 2026.
Limit Value
Files per project Free 5; Go and Plus 25; Pro, Business, Enterprise and Edu 40.
Files per upload action 10 at the same time.
Size per file 512 MB; text and documents also capped at 2M tokens; spreadsheets about 50 MB; images 20 MB.
Upload rate Up to 80 files every 3 hours; Free users 3 uploads per day; may be lowered at peak times.
Storage 25 GB per user and 100 GB per organization, shared across chats, projects and custom GPT knowledge.

OpenAI also notes that outside Enterprise, documents use text-based retrieval, so images embedded in a PDF or presentation are discarded. If a client’s brief relies on diagrams, describe them in text. Source: File Uploads FAQ.

What it costs a one-person business

Projects themselves are included. The decision is which plan you need for file capacity and for how your data is handled.

USD prices from OpenAI Help Center articles, checked September 14, 2026. Our annual totals.
Plan Price Per year Files per project Training on your content
Plus $20 per month, billed monthly only $240 25 May be used if “Improve the model for everyone” is on; you can turn it off.
Business, 2 Standard seats minimum $25 per seat per month monthly, or $20 billed annually $600 monthly billing; $480 annual billing 40 “OpenAI won’t train on your workspace’s data.”

Business requires “at least 2 Standard or Premium seats in total”, so a solo user pays for a second seat. Go also includes projects with 25 files, but its USD price was not published in the help article we read; the pricing page we opened was served in yen. Privacy, sharing and training

  • Training. For Free, Plus and Pro, OpenAI “may use information accessed from projects to train our models if your ‘Improve the model for everyone’ setting is on.” Business, Enterprise and Edu are not used by default.
  • Human access. OpenAI’s consumer data FAQ says authorized personnel and service providers may access content for abuse or security investigation, support, legal matters, or model improvement unless you opt out, and asks users: “Please do not enter sensitive information that you would not want reviewed or used.” Source: Data Usage for Consumer Services FAQ.
  • Sharing. Project sharing is available on every plan. A shared project is automatically set to project-only memory and cannot be switched back, and “All members of a project can view and download files added to the project.” Plus and Go allow up to 25 files and 10 collaborators; an owner can also set “Anyone with a link”. Do not share a project that holds another party’s confidential files.
  • Your client contract comes first. If an agreement restricts third-party processing or AI tools, a project setting does not satisfy it. Check before uploading.

The human review gate

Nothing produced in a project should reach a client until you have checked it. Before sending, confirm each item against the uploaded sources or your own records:

  1. Names, titles, company names and spellings.
  2. Every number, date, price and deadline.
  3. Any quote or claim attributed to the client or a third party.
  4. Scope: nothing promised that the engagement does not include.
  5. No wording, examples or data that came from another client.
  6. The list of assumptions the instructions asked ChatGPT to state, each resolved or removed.

If a check fails, correct the source file or instruction rather than only the output, so the next draft starts from better context.

Deletion and retention when the engagement ends

Deleting a project “permanently deletes all files, chats, and instructions in that project and cannot be undone”, and OpenAI says deleted projects are removed from its systems within 30 days unless it must retain them for legal or security reasons. Before deleting, export anything you are obliged to keep into your own records.

Deletion has limits. OpenAI’s memory FAQ says saved memories are stored separately from chat history, so deleting a chat does not delete a saved memory, and “To fully delete something ChatGPT may know about you, you’ll need to delete every source where it appears”. If a client detail slipped into a chat outside the project, find and delete that chat and review your memory summary as well. Source: Memory FAQ.

If you collect client information before the work starts, our Notion client intake forms guide covers building the brief you will later upload.

Frequently asked questions

Does a normal project keep clients separate?

Not fully. With default memory on non-Enterprise plans, project chats can reference conversations outside the project. Choose project-only memory for each client project.

Can I switch an existing project to project-only memory?

Yes, in Project settings. OpenAI says the change may take a few hours to take effect, and that information from the project is then removed from memory used outside it.

Is a Temporary Chat safer for one-off client questions?

Temporary Chats do not use or create memories, but they cannot be added to a project, so you lose the project’s files and instructions.

How many client files can one project hold?

Twenty-five on Go and Plus, forty on Pro and Business, five on Free, with a ten-file limit per upload action.

Will my client’s files be used to train models?

On Free, Plus and Pro, only if your “Improve the model for everyone” setting is on. On Business, OpenAI states it does not train on workspace data.
