The short answer
Choose around the job you need done.
For a US solo service business, shortlist FreshBooks when proposals and client billing drive the choice; shortlist QuickBooks Online when your accountant’s workflow drives it. Compare the plans that meet those needs, not the cheapest advertised offers. If you send only occasional invoices, check whether a free option is sufficient before paying. We researched official documentation.

Which plan belongs on your shortlist?
| Your requirement | Starting point | Check before buying |
|---|---|---|
| Up to five billable clients; straightforward estimates and invoices | Evaluate FreshBooks Lite | Confirm that you do not need Plus-only features. |
| Proposals, retainers or direct accountant access | Evaluate FreshBooks Plus and QuickBooks Simple Start for your actual tasks | These are not identical feature packages. Ask your accountant which handoff they can support. |

A more relevant comparison for someone needing direct accountant access is FreshBooks Plus against QuickBooks Simple Start: US$43 versus US$38 monthly, rather than Lite’s US$23 versus US$38. Under these assumptions, the difference is US$60 over twelve months. This does not establish overall value; required features may change the plan you need.
At checkout, record the initial amount, renewal amount, billing interval and cancellation terms. A discounted first invoice should not become your permanent budget assumption.
Three situations that change the cost comparison
1. Four clients today, six next month. At the ordinary monthly rates above, moving from FreshBooks Lite to Plus adds US$20 per month. A hypothetical year with three months on Lite and nine on Plus costs US$456 before extras. That equals twelve months of QuickBooks Simple Start at its listed monthly rate, but equal subscription cost does not mean equivalent features. Use this scenario only if those plans satisfy your actual requirements.
2. Your accountant needs direct access now. Compare Plus with Simple Start instead of using Lite as the FreshBooks price anchor. The subscription difference is US$5 per month. Ask for the accountant’s fee for each supported workflow; any difference in that fee belongs in your comparison too. This article does not assume that either tool saves billable hours.
3. Your existing accounting system works. Paying for another platform can duplicate customer records and reconciliation work. Identify the missing job first. If that job is collecting a payment rather than replacing bookkeeping, our Stripe Payment Links vs Invoicing guide explains the payment-workflow choice.
Budget formula: subscription + additional users + processing fees + required add-ons + migration help. Keep one-time switching costs separate from recurring costs. Do not include hypothetical time savings until you have measured the work you will actually replace.
What makes FreshBooks worth considering?
The published plan structure separates client volume and billing features: Lite supports five billable clients, Plus supports fifty and includes proposals, retainers and accountant access, while Premium removes that client cap. FreshBooks plan comparison
For project-based work, start by examining how your estimate, scope, approval and invoice fit together. Imagine a photographer selling a package with optional extras. The useful question is whether the client can understand exactly what they are approving and whether the final invoice matches that agreement.
The trade-off: a low entry price is less relevant if you immediately need a higher tier. Make a list of active billable clients and the features you will use this month. Do not pay for hypothetical expansion, but do not overlook a current requirement to make the cheapest plan appear sufficient.
What makes QuickBooks Online worth considering?
The US pricing page lists one user and access for two accountants on Simple Start; Essentials expands the included user count. This gives you a concrete basis for discussing a direct accounting handoff. QuickBooks plan details
For your evaluation, ask the accountant to describe one routine task: reviewing a month’s transactions, requesting clarification, or producing a report. Then check whether the intended role and plan cover that task without repeated exports and emails.
The trade-off: broader accounting functionality is useful only if you need it. A solo designer should not buy a higher tier merely because a comparison labels it “more professional.” Ask which specific missing feature requires the upgrade and how often it will be used.
Test the billing experience your customer sees
Use the same fictional customer, invoice amount and due date in both trials. Compare these steps rather than general impressions about attractive dashboards:
- Build an estimate or proposal with optional work clearly separated.
- Preview it on a phone and check what the client must approve.
- Create the related invoice and verify line items, tax fields and deposit treatment.
- Inspect the reminder settings and the actual wording sent to customers.
- Record a partial payment and locate the outstanding balance.
- Export a report in the format your accountant requested.
These are proposed tests, not results we obtained. Do not assume an automated reminder eliminates every personal follow-up or that a particular number of overdue days works for every client relationship.
Separate local availability from tax-filing support
US prices cannot establish the cost or tax features of another country’s edition. Before choosing for a UK, Australian or Canadian business, confirm the exact local product, bank connection and reporting workflow with the vendor and your accountant.
Supporting a tax rate on an invoice and submitting a tax return are different capabilities. Check the reporting features of your local edition before making it part of your accounting process.
A useful question is: “For my edition and plan, can you complete the reporting process you need with direct access, or will I have to export and prepare additional information?” That produces an actionable answer without relying on a generic “tax-ready” label.
Switching costs and when a free tool is enough
Before switching, list outstanding invoices, credits, deposits, customer records and opening balances. Try a small export/import and reconcile totals. Keep the old records until you know what transferred correctly; a CSV is not proof that every relationship, attachment or adjustment migrated.
If all you need is basic invoicing and you already have a workable accounting process, a paid subscription may add little value. Our Wave vs Zoho Invoice comparison covers that narrower choice, including Wave’s geographic restrictions.
Check QuickBooks Free before assuming a paid plan is necessary
The US pricing page now lists a US$0 plan with one user, one connected bank and no accountant access. It lists two invoices per month, or unlimited invoices if you qualify for and enable QuickBooks Payments. Payment eligibility and processing charges still matter; a free subscription does not make payments free. Confirm availability and terms for your business. This is a documentation finding, not a tested account. QuickBooks US pricing
Frequently asked questions
Should I pay for an annual plan straight away?
First complete a representative billing cycle and check the renewal price. Annual billing can reduce the quoted equivalent monthly cost, but it also commits cash before you know whether the workflow fits.
Is FreshBooks only for very small businesses?
Choose using the requirements and limits of the relevant plan, rather than the size label. Client volume, collaboration, reports and proposal needs are more useful criteria than “small” versus “growing.”
What should decide a close comparison?
Use the lowest plan that passes your must-have checklist. If both pass, compare the total cost, the accountant handoff and the steps you repeat most often. Keep a short record of why you chose it so you can review the decision when your workload changes.
Your next step
Write down your billable client count, required accountant access, invoice workflow and current accounting system. Eliminate any plan that fails a requirement. Then run the sample workflow above on an available evaluation account before migrating records or committing to an annual subscription. If you cannot test a required task, keep the decision provisional.
Sources and method
We rechecked FreshBooks pricing and QuickBooks US pricing on October 4, 2026 for the prices and plan limits discussed here. Subscription scenarios are our arithmetic using ordinary monthly prices, excluding tax, discounts and extras; they are not annual-plan quotes. Promotional offers vary, so we do not use them to establish a permanent budget or a universal winner. Local tax-filing suitability, payment approval and the checkout offer for an individual business remain unverified.
